Stripe Billing
AI SpendOps uses Stripe for payment collection, but billing logic is controlled entirely by our system. Stripe is used as an invoice-based payment platform, not a subscription manager.
Key Design Decision
We do not use Stripe Subscriptions. Instead:
- Our system calculates what each tenant owes
- We create Stripe Invoices directly via the API
- This gives us full control over proration, overage, plan changes, and billing timing

All prices are in GBP. Transactions are counted as individual API requests proxied through the system.
Invoicing
Monthly Invoices
- Generated on the 1st of each month for the previous month's usage
- Include the base plan fee plus any overage charges
- Sent automatically via Stripe's email delivery
- Payment collected via the customer's saved payment method
Real-Time Overage
When a tenant exceeds their plan's included transaction count mid-month, overage charges accrue in real-time. These are included on the next monthly invoice. The overage rate is plan-dependent and disclosed in the pricing page.
Billing Policies
- No refunds — All charges are final. Plan downgrades take effect at the next billing cycle.
- No free trial — Tenants start on a paid plan from day one.
- Plan changes — Upgrades take effect immediately (prorated). Downgrades take effect at the next billing period.
VAT Handling
- All prices are quoted exclusive of VAT
- VAT is applied based on the customer's billing country and VAT status
- UK customers: 20% VAT added
- EU customers with valid VAT ID: reverse charge (0% VAT)
- EU customers without VAT ID: local VAT rate applied
- Non-UK/EU customers: no VAT
Stripe Tax is used for automatic VAT calculation and compliance.
Discounts
Discounts are applied as Stripe Coupons attached to the customer. They can be:
- Percentage-based (e.g., 20% off for 3 months)
- Fixed-amount (e.g., £100 off per month)
- Time-limited or perpetual
Discounts are managed through the portal admin UI and applied at the Stripe customer level.
